Your Certificate and Transcript

  • Please note that all certificates and transcripts are only sent upon request to ensure that documents are posted to your current address after completing your studies. Please note that certificates and transcripts are not available until six weeks after your official award date.

    Unclaimed certificates and transcripts

    All unclaimed original certificates and transcripts will be destroyed 12 months after the date of your award. After this time you will be required to purchase replacement documents from our online shop.

    How to request your certificate

    If you have been invited to attend an award ceremony but cannot attend, or your ceremony has already taken place, please complete our online certificate claim form. Your documents will then be posted out to you by recorded delivery or DHL when they are available.

    Can I receive my certificate prior to attending my award ceremony?

    If you are attending your ceremony and require your documents prior to the date of your ceremony please complete our online certificate claim form. Your documents will be sent out to you as soon as they are available. This will not affect any booking you may have made to attend the ceremony and you will be presented with a mock certificate when you cross the stage.

    I have sent in a certificate request and need to update my address

    If you have already sent in a certificate claim form and would like to update any of your details, please complete the form again and this will override any previous communication we have received.

    Postage information

    We send certification documents to those people who have completed our certificate claim corm by Royal Mail Recorded Delivery if you are in the UK or by DHL if you are overseas.

    Both Royal Mail and DHL keep tracking information for a limited time.

    To request a tracking number for your documents for Royal Mail or DHL please email certification@northampton.ac.uk.

    If you haven’t received your documents within 4 weeks of dispatch you will need to contact Royal Mail or DHL with your tracking number to query where your documents are.

    If you do not receive your documents and do not liaise with Royal Mail or DHL while they retain your tracking information to locate your delivery, you will then be required to purchase replacement documents from our online shop.

  • Current students need to be aware that the name that will appear on your award certificate will be the name on the student record system. Once a student has been through the award procedure the name on their certificate cannot be changed because the formal conferment record will hold the name as it appears on the records and if changed could lead to your certificate being unverifiable.

    Students must ensure that the student record system holds their correct and full name prior to award. Missing middle names, or abbreviated names or nicknames will appear or be missing on the certificate depending on the name you used when you enrolled.

    If you would like to check the name we hold on the student record system or alter it, please contact the student desk at SID@northampton.ac.uk. Please note the name cannot be altered if you have already been awarded on your course.

    If you have received your certificate and believe there is an error with your name please email certification@northampton.ac.uk and we will be happy to look into this for you. Please note that official name changes can only take place in exceptional circumstances.

  • Verification and certified copies processes are frequently used by students to send certified copies of their documents and/or verification letters to: other institutions for further study, future employers, Embassy processes, World Education Services (WES) and other third party organisations.

    Verifications

    A verification is a process used to confirm if a student has been officially awarded by the University. This can be in the form of an official letter confirming any other relevant information as required such as mode of study, location and dates of study. (For reference letter requests please see the information below). A verification is often accompanied by certified copies of a student’s certificate and/or transcript depending on student or third party requirements.

    Certified copies

    A certified copy of a certificate and/or transcript is where the student or a third party (with consent from the student) sends clear scanned copies of award documents for us to certify. The copies are then checked for authenticity and stamped and signed by the Ceremonies and Certification Officer. Certified copies can then be posted or emailed as requested.

    How to request a verification or certified copies

    Payment for a verification or certified copies can be made using our online shop. There is a £10 charge per request for all certified documents or verifications. The £10 fee covers as many certified copies of your certificate and transcript as you require. If you require them to be posted to more than one address you will need to purchase one verification per address.

    Once you have completed your online payment on the above link please email scanned colour copies of your certificate and/or transcript (not photographs) and any relevant further information to verifications@northampton.ac.uk. If you require a verification letter please outline the information required and we will produced a letter confirming any information we can from your student record.

    Timescale

    Verifications or certified copies can take up to 2 working weeks to be processed. The 2 working weeks starts from the date we receive all of the information required to complete your verification.

    Please note that if we do not receive the scanned copies of your documents or adequate consent to release the verification to a third party and the process remains incomplete after 10 working days, your request will be cancelled and your order will be refunded.

    Third party verifications and consent

    Please note a verification or certified copies request can only be completed if it is requested by the student named on the award documents or if the person requesting has provided signed consent from the named student to release the information. For third party requests please download and complete our Data Protection Consent Form.

    Please also note: the University does not have any arrangements with any third party verification services. All verification requests must come directly to us via the above detailed processes.

    Reference letter requests

    If you require a reference letter confirming your student status (i.e. course title, start and end dates) please complete the general letter request form here. Please note that this will not confirm if you have been officially awarded on your course as this information can only be provided the Assessment, Ceremonies and Exams department through the above verification process.   • Where your original award certificate has been lost or destroyed, it may be possible to obtain a replacement. Please read through the guidance below carefully before purchasing a replacement.

    Please note we are no longer able to produce replacement certificates and transcripts for awards conferred prior to 1 January 1990. If you have any further queries regarding this please contact certification@northampton.ac.uk.

    If your award was processed by another awarding body such as Pearsons or City and Guilds please make sure you read our “Other Awarding Bodies” drop down section.

    Timescales

    All replacement certificate and transcript orders can take up to 8 working weeks to be processed dependent on the time of year and the date your award was conferred.

    Replacement Certificates

    You may only hold one copy of your original certificate at any one time. If you still have the original certificate, even if it is not available (for example: it is in storage, or in a frame on the wall) a duplicate cannot be issued.

    All applications and payments for replacement certificates should be made through our online shop. A replacement certificate costs £30.

    Once we have received your online payment and information we should have all the details needed to produce the replacement. We will only contact you should we require further information or encounter a problem producing the replacement.

    Please note we will endeavour to issue your replacement certificate as quickly as possible. All requested documentation will be posted by recorded delivery in the U.K. and by DHL if overseas.

    Replacement Transcripts

    You may purchase as many copies of your transcript as you require.

    All applications and payments for replacement transcripts should be made through our online shop. A replacement transcript costs £20.

    Once we have received your online payment and information we should have all the details needed to produce the replacement. We will only contact you should we require further information or encounter a problem producing the replacement.

    If your award was conferred after September 2005, your order will be processed by the Ceremonies and Certification team. If you have any queries regarding the status of your order please contact certification@northampton.ac.uk.
