July 2019 Award Ceremony Booking & Further Information
All Booking Deadline: 1 July 2019 at 4pm- Online booking system will be closed for all bookings including any extra tickets, gown hire and photography.
Please note booking could close earlier due to ticket availability. Tickets are limited due to venue size and booking will close when the venue reaches capacity if prior to the deadline.
Please carefully read all the further information at the bottom of this page along with the terms and conditions before choosing one of the two links available.
By booking to attend your ceremony it will be assumed that you have read, understood and agreed to all the information below and our Award Ceremonies terms and conditions.
Booking Your Attendance
You can book your student ticket and guest tickets using our online system; these can be booked by either a student or a representative provided they have the relevant information.
To book online you will need your student name and number. You will also need details of any relevant additional needs and a valid email address for the graduating student where the tickets can be sent.

You can also book by telephone should you wish on 01223 861854. Please note if booking by telephone you will incur an additional £5 charge for your gown hire.
Gowning & Photography will take place before your ceremony at Waterside Campus. Once gowning and photography has taken place students and guests need to make their own way to the Royal & Derngate Theatre in Northampton Town Centre.
A ceremonies walking route has been planned for those choosing to walk from Waterside to the theatre. This walk is half a mile and we would anticipate this taking a maximum of 20 minutes (slow pace).
After the ceremony has finished gowns will need to be returned to Waterside Campus.

Please allow enough time when considering your travel, ceremonies will start at the advertised time and will not be held for any missing students or guests.
For those travelling to Northampton by car there are several parking and travel arrangements available.
Northampton Park and Ride
Car parking is free and a special rate of £1 return has been made available for all students and guests attending the ceremony.
Town Centre Car Parking
This is available throughout Northampton, parking charges vary dependent upon which car park you choose, there are a number within walking distance of both the theatre and Waterside Campus.
Unfortunately, there are not enough car parking spaces on Waterside to accommodate all students and guests for such a large-scale event so parking on campus will only be available to those students and guests with additional needs and will need to be pre-booked as detailed below.
Students and guests should note that whilst we will try where possible to accommodate any late students and guests this is not always possible. Once the ceremony has begun there are certain areas within the auditorium in which we are unable to seat guests, so late arrivals may be given alternative seating arrangements.
For students and guests with additional needs parking can be provided on campus but will need to be booked in advance.
For security reasons and due to the barriers, that operate throughout campus, there will be strictly no parking that hasn’t been pre-booked will be allowed.
For those with additional needs, both guests and students, we are offering the following services which need to be pre-booked, to make your day run smoothly:
Car Parking at Waterside
This will be in car park 4, again barriers will be in operation so this will need to be pre-booked with a specific number plate. There are also several blue badge spaces across campus which can be used but you will still need to pre-book so your number plate is added to our car parking systems.
A dedicated shuttle bus service from campus to the theatre and back – this will do one journey before and after each ceremony. Please note as space is limited only those with additional needs and one companion will be given seats on the bus, not the whole family. Those who book for this service will need to show their ticket when boarding, tickets will be pre-booked and collected on campus. Please note the shuttle bus will depart allowing plenty of time for traffic so we would be unable to accommodate any latecomers on the shuttle bus.
A Golf Buggy Service on Campus – This will take guests with additional needs from the Creative Hub (Gowning & Photography) to the bus stop and back, our on-campus team will help you with this on the day, it does not need to be booked.
To book car parking and/or a shuttle bus please email firstname.lastname@example.org with the following information:
- Please title your email – Additional Needs Booking
- Include your full name, student number and date and time of your ceremony
- Please include details of your guest’s additional needs, please be as specific as possible. We also need to know the number of people with additional needs
- Confirm the licence plate of the car being used
- Confirm if you would like car parking, the shuttle bus or both
- Booking for this will close at the end of June so all emails need to have been received by then.
Please note we will confirm your booking has been successful after the closing date as a place is not automatically guaranteed. Both the shuttle bus and the car park have limited spaces available so if places are in high demand some evidence may be required and priority will be given to those more in need.
To be eligible to attend the July Award Ceremonies you MUST have completed, submitted and passed all your work and have been formally awarded on your course at an appropriate University of Northampton award board. The last award board date for eligible students for this ceremony will take place on 3 July 2019.
If you have re-sits, extensions, mitigating circumstances or anything else that impacts on your completion date this WILL impact on your eligibility for graduation. If you book to attend the ceremony and do not successfully complete your course you will be refunded automatically. Due to the timescales and intricate nature of the work involved we will be unable to accommodate any students who book to attend but are not awarded.
NB. We are unable to award students any sooner than the appropriate board for their course and circumstances.
The July Award Ceremonies will be taking place at the Royal & Derngate theatre in Northampton town centre. Gowning and Photography will take place at our Waterside Campus, a full itinerary listing exact locations and timings will be made available online, and by email, in due course.
There will be a variety of refreshment provisions available for students and guests running at Waterside from 8am – 7.30pm. Provisions will range from Grab-N-Go style snacks to more traditional meal provisions, to cater for all guests and meal times.
The refreshments will be provided from various locations on campus, some weather permitting. Students and guests could also choose to celebrate by dining at our Waterside Bar & Restaurant, this can be booked in advance for larger parties, details for booking can be found here.
For this ceremony tickets cost as follows;
- Student Tickets – Free but you do need to register that you are attending using the online booking system
- Guest Tickets – £15
All students can initially purchase a maximum of 3 guest tickets.
Extra guest tickets, if available will be released in the week beginning 20 May 2019, all attending students will receive an email regarding this. All extra tickets, if available, will be sold on a strictly first come first served basis until sold out.
All purchased guest tickets are E-Tickets and will be emailed to students prior to the ceremony, the attending student does not need a ticket.
Ede & Ravenscroft are our official robe makers and the only place where University of Northampton gowns are available for hire or purchase. If you are approached by any other gown supplier than Ede & Ravenscroft they are not approved by us and quality and accurateness cannot be confirmed.
Each gown is specific to the qualification obtained and the University studied at and the specific colours and materials for the University of Northampton cannot be found elsewhere.
All students MUST wear a gown to attend their award ceremony. Gown hire can be booked alongside your guest or student tickets or done at a later date but MUST be booked by 4pm on 1 July 2019. Please note you will be unable to book your gown hire until you have confirmed your attendance by booking online.
Photography, also provided by Ede & Ravenscroft, can be booked with your guest tickets, gown hire or purchased on the day of the event.
The Ceremonies is a formal occasion and photographs taken on the day will stay with you for a long time. The University recommends a dress code. For example:
- For men – dark suit, plain shirt and tie;
- For women – plain blouse, dark skirt or trousers, or a plain dress
A recognised national dress may be worn. Clothing with buttons down the front, such as shirts and blouses are highly recommended to secure the hood which drapes over the shoulders.
Award recipients should also be aware that they will be asked to stand for some time and have to walk up some steep steps and then cross the stage. The University therefore recommends sensible shoes, for both men and women, should be worn.
Please note trainers or jeans are not considered appropriate attire for the formality of the occasion.
When using the online booking you will be asked to provide any additional needs information for both students and guests that will affect seating and other arrangements for the ceremony.
Please list as much detail as possible and try to be as clear as possible so we can make the best arrangements for you and your guests. We will then use the information given to seat students and guests accordingly. If you have any concerns regarding you or your guests additional needs please contact firstname.lastname@example.org.
If you would like letters to support either your visa application or your guests’ visitor visa applications please complete the letter request form. Please note that these letters cannot be provided until you have booked to attend the ceremony and purchased guest tickets for your ceremony.
All visa letters are produced by the student information desk NOT the ceremonies team so all enquiries regarding these letters should go directly to that team on email@example.com.
Please note that no children under the age of 5 years old can attend the ceremony so you must not purchase guest tickets for them.
We do provide TV screens in the foyer of the theatre and in various places on Waterside campus for any guests without tickets or children to watch the ceremony as it takes place. Please note children must be accompanied at all times.
Refunds are available using the online booking system until 4pm on 1 July 2019. After this date refunds will only be given in exceptional circumstances and can be requested by emailing firstname.lastname@example.org.
Students who do not successfully complete their course will be automatically refunded.
We will only use your data in accordance with the Data Protection Act 1998 and the forthcoming General Data Protection Regulation (GDPR).
To administer the ceremony and associated activities we will share your information with relevant third parties such as our Gown suppliers and Alumni department where appropriate and necessary.
