By booking to attend your ceremony it will be assumed that you have read, understood and agreed to all the information, terms and conditions below.

Eligibility to Attend

To be eligible to attend the July Award Ceremonies you MUST have completed, submitted and passed all your work and have been formally awarded on your course at an appropriate University of Northampton award board. The last award board date for eligible students for this ceremony will take place on 4 July 2018.

If you have re-sits, extensions, mitigating circumstances or anything else that impacts on your completion date this WILL impact on your eligibility for graduation. If you are unsure please seek advice from the Student Desk on studentservices@northampton.ac.uk or 01604 892833 if you are unsure when you will finish.

If you book to attend the ceremony and do not successfully complete your course you will be refunded automatically. Due to the timescales and intricate nature of the work involved we will be unable to accommodate any students who book to attend but are not awarded.

Please note: We are unable to award students any sooner than the appropriate board for their course and circumstances.

The Ceremonies

The July Award Ceremonies will be taking place at the Royal and Derngate theatre in Northampton town centre. Gowning and Photography will take place on the University’s Park Campus, a full itinerary listing exact locations will be made available online in due course.

A shuttle bus service will be available for all students and their guests from the campus to the theatre and back. Free parking is available on campus for all students and guests.

Ceremony Tickets

For this ceremony tickets cost as follows:

  • Student Tickets – Free but you do need to register that you are attending using the online booking system
  • Guest Tickets – £15

All remaining guest tickets and student places are now being sold on a strictly first come first served basis. The online booking system will indicate the maximum number of tickets you are able to book at this time, if you are unable to book tickets this will be because the ceremony is sold out. If your ceremony is sold out please email ceremonies@northampton.ac.uk with your details and the number of tickets you require and we will add you to our waiting list.

All guest tickets purchased by 4pm on Monday 15 June will be seated together unless otherwise specified at the time of booking. Tickets booked after this deadline will be seated separately to previously purchased guest tickets due to the ticket allocation process.

All purchased guest tickets are E-Tickets and will be emailed to students prior to the ceremony. The attending student does not need a ticket.

Gown Hire and Photography

Ede and Ravenscroft are our official robe makers and the only place where University of Northampton gowns are available for hire or purchase. If you are approached by any other gown supplier than Ede and Ravenscroft they are not approved by us and quality and accurateness cannot be confirmed.

Each gown is specific to the qualification obtained and the University studied at and the specific colours and materials for the University of Northampton cannot be found elsewhere.

All students MUST wear a gown to attend their award ceremony. Gown hire can be booked alongside your guest or student tickets or done at a later date but MUST be booked by 4pm on 2 July 2018. Please note you will be unable to book your gown hire until you have confirmed your attendance by booking online.

Photography, also provided by Ede and Ravenscroft, can be booked with your guest tickets, gown hire or purchased on the day of the event.

Dress Code

The Ceremonies is a formal occasion and photographs taken on the day will stay with you for a long time. The University recommends a dress code. For example:

  • For men – dark suit, plain shirt and tie
  • For women – plain blouse, dark skirt or trousers, or a plain dress

A recognised national dress may be worn. Clothing with buttons down the front, such as shirts and blouses are highly recommended to secure the hood which drapes over the shoulders.

Award recipients should also be aware that they will be asked to stand for some time and have to walk up some steep steps and then cross the stage. The University therefore recommends sensible shoes, for both men and women, should be worn.

Please note: Trainers or jeans are not considered appropriate attire for the formality of the occasion.

Guest and Student Additional Needs

When using the online booking you will be asked to provide any additional needs information for both students and guests that will affect seating and other arrangements for the ceremony.

Please list as much detail as possible and try to be as clear as possible so we can make the best arrangements for you and your guests. We will then use the information given to seat students and guests accordingly. If you have any concerns regarding you or your guests additional needs please contact ceremonies@northampton.ac.uk

Student and Visitor Visa Support Letters

If you would like letters to support either your visa application or your guests’ visitor visa applications please complete the letter request form. Please note that these letters cannot be provided until you have booked to attend the ceremony and purchased guest tickets for your ceremony.

All visa letters are produced by the student services team NOT the ceremonies team so all enquiries regarding these letters should go directly to that team on studentservices@northampton.ac.uk

Children

Please note that no children under the age of five years old can attend the ceremony so you must not purchase guest tickets for them.

We do provide TV screens on campus and in the foyer of the theatre for any guests without tickets or children to watch the ceremony as it takes place. Please note children must be accompanied at all times.

Refunds

Refunds are available using the online booking system until 4pm on 2 July 2018. After this date refunds will only be given in exceptional circumstances and can be requested by emailing ceremonies@northampton.ac.uk

Students who do not successfully complete their course will be automatically refunded.

Your Data

We will only use your data in accordance with the Data Protection Act 1998 and the forthcoming General Data Protection Regulation (GDPR).

To administer the ceremony and associated activities we will share your information with relevant third parties such as our Gown suppliers and Alumni department where appropriate and necessary.

Whilst booking to attend your award ceremony you will be asked to agree to be included in the graduation programme, celebratory T-Shirt and be included on the live and post-ceremonies web stream. You can opt to change your mind regarding this decision until publications go to print (2 July 2018) by emailing ceremonies@northampton.ac.uk. Please also note that you will NOT be included in these publications unless you opt to be included during the booking process.

Booking Your Attendance

You can book your student ticket and guest tickets using our online system – these can be booked by either a student or a representative provided they have the relevant information.

To book online you will need your student name and number. You will also need details of any relevant additional needs and a valid email address for the graduating student where the tickets can be sent.

You can also book by telephone should you wish on 01223 861854. Please note if booking by telephone you will incur an additional £5 charge for your gown hire.
